Record a Supplier Payment
Use Supplier Payment Entry to record money paid from a bank account to a supplier.
Before you begin
- Confirm that the invoices are valid, approved, due, and not already paid.
- Confirm supplier bank details outside the payment entry process according to your anti-fraud policy.
- Verify payment date, amount, currency, bank account, and external reference.
Record the payment
- Select the Supplier.
- Select the paying Bank Account.
- Enter the payment Date, Reference, and Amount.
- Enter an authorized payment discount only when applicable.
- Add a memo identifying the payment batch, remittance, or bank reference.
- Review the details and click Process Payment.
- Allocate the payment with Allocate Supplier Payment or Credit Note when it was not allocated automatically.
Fraud control: A change to supplier bank details should be independently verified using a trusted contact method before payment is released.
Verify the result
- Supplier inquiry shows the payment once.
- The intended invoices are settled or the payment is clearly unapplied.
- The selected bank account decreased by the expected amount.
